Office Clerk – Sales Support  & Administrative Assistant 

POSITION TITLE: Office Clerk – Sales Support                    DEPARTMENT: Sales

IMMEDIATE SUPERVISOR: General Manager

POSITION SUMMARY: to provide sales and administration support to the Customer Service Representative or General Manager as required or directed

DESCRIPTION OF TASKS:

  • Performs reception duties and answers telephone inquires

  • Handles all filing duties and ensures company files are organized and accurate

  • Provides assistance and support to daily sales functions, invoicing requirements, office administration and customer service as directed by the Customer Service Representative, Service Manager or General Manager

  • Processes sales invoices and payment receipts

  • Assist with rental invoices from rental form instructions

  • Assist with sale invoices for rental items at the 3 month target

  • Contacts customers for payment information prior to mailing invoices or sales receipts

  • Orders and maintains office supply inventory to ensure a constant supply of all required internal forms or documents for use by sales and service personnel

  • Participates in all staff meetings and take minutes/notes for management information

KNOWLEDGE, SKILL & EDUCATION REQUIREMENTS:

  • Minimum education requirement: Grade 12 Graduate

  • 1 to 3 years work experience in a fast paced sales environment

  • Must have excellent verbal and written communication skills

    • (English as the primary language)

  • Must be detailed focused and have good organizational skills

  • Must have proficient computer skills and experience with Microsoft Office software

  • Must display a positive team player attitude within a sales environment

POSITION TITLE : Administration Assistant

IMMEDIATE SUPERVISOR : General Manager

POSITION SUMMARY : to provide support to the General Manager and administration staff

DESCRIPTION OF TASKS :

  • Preparing & Scheduling work orders

  • Researching parts & Providing Quotes

  • Communication with clients & prescribers

  • Billing requests and confirmations

  • Sales and Service support

  • General Office duties (filing, daily deposits, clerical)

  • Customer follow-ups

  • Additional:

    • Participate in all inventory counts

    • Attend all scheduled staff meetings

    • Perform other duties as assigned

Knowledge, Skills & Educational requirements:

  • Minimum grade 12 graduate

  • Valid driver’s license

  • Able to work in a team environment, take direction and work independently

  • Effective communication skills; written and verbal (English as a primary language)

  • Organized, detail oriented and proven effective time management skills

  • Proficient in Microsoft applications and web/internet skills

  • QuickBooks software experience an asset

  • 2 years minimum scheduling experience an asset

*Hour Requirements: 40/week

  • Monday through Friday 8:30am – 5:30pm
